AI can classify inquiries, extract details from messages, prepare answers from approved information, summarize calls, draft follow-up, and keep next actions visible. A person should remain accountable for promises, pricing, sensitive cases, and relationship decisions.

Documents and administration

Businesses can use AI to identify document types, extract defined fields, compare information, prepare standard summaries, and route work for review. This is useful for proposals, applications, intake forms, invoices, contracts, policies, and recurring records when validation is built into the process.

Internal knowledge

An internal AI knowledge base can help employees ask questions across approved documents and systems, find the source behind an answer, and reduce repeated requests to the same experienced people.

Reporting and analysis

AI can help explain changes, summarize a trusted report, identify unusual records, and prepare commentary. The calculations and source data should remain deterministic and inspectable; the AI should not silently become the accounting system.

Workflow automation

AI becomes more valuable when it sits inside a complete workflow: receive an input, classify it, retrieve relevant information, prepare an output, send uncertain cases to a person, update the system of record, and monitor the result.

How to choose the first use case

  1. Name one operational outcome, such as faster response or less re-entry.
  2. Map the existing process and exceptions.
  3. Confirm the information is accessible and appropriate to use.
  4. Define what AI may do and what a person must approve.
  5. Establish a baseline and test with real cases.
  6. Expand only after the result is reliable and useful.

Be cautious with decisions that affect employment, eligibility, safety, health, legal rights, financial commitments, or access to essential services. High-impact outputs require appropriate expertise, review, documentation, and accountability.
